Rules for engagement

Welcome to Vendic's Slack workspace! We're excited to have you here as a valued client. To ensure smooth and productive communication, we've put together this code of conduct to outline the rules of engagement:

Respectful Communication

Treat all members of the Slack workspace with respect and professionalism. Avoid inflammatory language, personal attacks, or any form of harassment.

Use of @channel / @here

Refrain from using the @channel feature unless absolutely necessary (e.g. your site broke down, you cannot receive any orders and you can't reach support via email). This helps minimize interruptions for the entire team and ensures that important announcements are not overlooked. Note that @channel notifications are sent to all members of the channel, including those that are currently not working.

Understanding Asynchronous Communication

Slack is primarily an asynchronous communication medium. This means that responses may not be immediate, as team members may be working on other tasks. Please be patient when awaiting a response and refrain from multiple follow-up messages unless urgent.

Response times

While we strive to address all inquiries and concerns in a timely manner, we do not guarantee immediate response times on Slack. For urgent issues requiring immediate attention, please contact our support team via email at support@vendic.nl.

Language

To facilitate effective communication across our diverse team, we require all messages to be written in English. While we appreciate the multilingual nature of our team, English ensures all team members can participate.

Task Documentation

For project-related discussions and task management, we utilize ClickUp as our primary task management system. Please keep all task documentation, updates, and discussions within ClickUp to maintain organization and transparency.

Use of Threads

When responding to a message, especially in a busy channel, please utilize threads to keep conversations organized and easily accessible. This helps reduce clutter and ensures that discussions remain focused.

Mentioning Team Members Directly

Please avoid mentioning specific team members directly using @username unless it is absolutely necessary. Direct mentions send notifications to individual members and can disrupt their workflow. Our goal is to work together as a team, and we encourage clients to address their queries to the relevant channels or general team instead of relying on specific team members.

Avoiding Direct Messages

To foster transparency and ensure that all team members are informed, please avoid sending direct messages. All communication should take place within the designated client channel so that the entire team can participate and provide support. Huddles and discussions should also be conducted in the relevant channel to maintain visibility and collaboration.

Third-Party Participation

If you'd like to add a third party, such as your marketing agency, to your dedicated Slack channel, we're happy to accommodate this. However, please ensure that their involvement is relevant to the development work we're doing together. We understand that collaboration with other agencies can be essential, but to keep everything on track, discussions in our Slack channels should stay focused on the development and technical aspects of your project.

Any tasks assigned to Vendic via Slack, whether from you or a third party like your marketing agency, will be treated as official work requests and billed at our standard rate. It's important that you manage and approve any task requests from third parties before they send them to us. Once a request is submitted in Slack, our team will get started on it right away, and we'll bill you accordingly.
